This announcement has been prepared to provide a comprehensive answer to frequently asked questions from our department’s students about summer internships. Below, you can find all the necessary information about summer internships in the form of questions and answers.

1- Is an internship mandatory?

Yes, all students are required to complete a 60-day internship before graduation to graduate from our department.

2- What are the requirements for completing the internship?

The company where you wish to complete your internship must have at least one electrical or electrical-electronics engineer. There are no other department-specific requirements.

3- What are the dates and locations for my internship? Can I complete my internship whenever I want?

You can complete your internship between the dates specified by the university administration. Our university can process your insurance between these dates. Therefore, it is not possible to complete your internship outside of the date ranges specified by the university administration. However, if you have passed all your courses and only have one internship remaining until graduation, you can complete your internship on any date you choose. (In this case, you should contact the Student Affairs office to determine the earliest date you can apply for insurance.) Furthermore, if you are not currently in this situation and are anticipating this situation based on assumptions (e.g., if I pass all my courses this semester, only my internship will remain, I have three courses, but only my internship will remain, etc.), you wish to apply for an internship outside of the dates listed on the internship calendar or for more days than the calendar (e.g., 45 days, 60 days, etc.), unfortunately, you cannot. It is not possible to submit an internship application based on assumptions. You can access the date ranges for the 2024 summer semester through the link below. As can be seen from the link below, internships are limited to a maximum of 40 days during the summer semester (excluding students who have no classes left after the internship). The internship start and end dates should be determined based on the start and end dates listed on the page, depending on whether the company operates on weekends and the number of days you wish to complete your internship. These dates change annually, and the relevant link will be updated annually.

 

4- I received an internship offer from platforms like Kariyer Kapı (Career Gate), but the internship dates specified by my internship location don’t align with the university’s internship schedule. What can I do?

In this case, the student must apply to the internship committee and explain the situation in a petition. The internship committee will evaluate the student’s request and decide whether to accept or reject it.

5- Can I complete my internship during the interim period?

Yes, you can complete your internship during the interim period. However, since there isn’t a break as long as the summer term, the internship period is limited. You can contact the Student Affairs office to find out the dates when your insurance can be provided during the interim period and apply for an internship within these dates.

6- How do I apply for my internship?

To apply for an internship, students must first log in to the system by visiting “https://stajbasvuru.aku.edu.tr/”. Then, they must start a new internship application and fill out their personal information and the necessary information about the institution they wish to intern at, and then complete the internship pre-application. The pre-application will then be reviewed by the internship committee and, if deemed appropriate, approved. Students can view the status of their internship pre-application by logging back into the relevant website. The approval process may vary depending on the workload of the internship committee. After the pre-application is approved, the PDF document generated by the system must be printed and signed by both the student and authorized personnel at the company where the internship will be held. Once the signature process is complete, the student must combine this document and the scanned front and back versions of their ID into a single PDF file and re-upload it to the system. You can use mobile apps or free PDF editing tools available online to scan documents and combine PDF files. The internship committee will review the uploaded documents, and if any are found incomplete, the student will be provided with a revision and requested to make the required changes. Therefore, students must continuously monitor the system until their internship is fully approved. Students’ internship applications will be accepted if their documents are deemed complete, and the internship application process will be completed. The document generated by the system and signed by the internship company must be kept and submitted to the internship committee upon completion of the internship. Therefore, it is essential to maintain meticulous care of this document. Students are required to register for insurance approximately one week prior to the start of their internship. If the internship company requests insurance documents, they can obtain these documents from any Social Security Institution (SGK) office in their city. (Since insurance registrations are made one week prior to the start of their internship, documents can be obtained during this time. If you apply earlier, you may not be able to obtain the documents.)

7- I completed my internship at company x last year. Can I continue my internship at the same company x?

Yes, you can. However, if you are successful in your internships, your chances of receiving job offers after graduation are quite high. Therefore, to increase your chances of finding a job and gain diverse experience, we recommend interning in different departments within your department and gaining different experiences. However, you still have the opportunity to complete your internship at the same company if you wish. In this case, it would be more beneficial for you to have a second internship in at least a different department.

8- I’ve submitted my internship application. What do I need to do now?

After completing your internship application, you must obtain the internship logbook you will need to complete during your internship. You can obtain the logbook either online or from the university equipment sales office in the garden of the Kocatepe University Mosque, located opposite the university rectorate entrance.

9- What should I pay attention to when filling out my internship notebook?

The purpose of your internship notebook is to convey the activities you completed during your internship to your faculty. Therefore, you must record all activities you completed during your internship in a detailed and clear manner, day by day, in your notebook. If the notebook is insufficient (for example, 60-day internships), you can use a second notebook. Additional paper such as A4 paper will not be accepted. The notebook should be filled with a ballpoint pen, and each page should be filled with one day’s description. Avoid large print, blank spaces, or pasting pictures or images onto the page to make the page appear full. Pictures you wish to include in the notebook can be printed and placed between the notebooks. Theoretical information learned about the work performed can be provided without exaggeration. It is important to fill a substantial portion of each day’s page (more than half), avoid glossing over it with a few sentences, and be well-written. It should be noted that failure to comply with these conditions may result in a deduction from your internship (for example, counting a 60-day internship as 50 days, etc.). Completing the mandatory internship forms or internship information forms in the internship logbook is not required. The tables in the intern student timesheets should be considered as a calendar for that month, and the days spent in the internship should be marked with an “x”. The “x” marked sections will then be reviewed and signed by your internship supervisor. This will confirm that you completed your internship during those dates. The internship coordinator can be designated as the internship committee chair “Assoc. Prof. Dr. Said Mahmut ÇINAR” or the internship committee member “Res. Asst. Ardan Hüseyin EŞLİK.” The internship logbook does not need to be signed by the internship committee before it is completed.

10- What are the company’s requirements during and after completing the internship logbook?

The electrical or electrical-electronics engineer working at the company where the internship is taking place must fill out the diploma number and chamber registration number on the first page of the internship logbook. They must also sign all required sections in the internship logbook. After completing the internship achievement form in a hidden format, they must place it in an envelope and return it to you. They must also review and sign the student’s completed timesheets.

11- When/How should I submit the internship notebook?

Upon completion of your internship, your internship notebook must be submitted to Res. Asst. Ardan Hüseyin EŞLİK for the internship committee to evaluate it. You must submit your internship notebook within two weeks of the start of the next semester following the internship. Notebooks submitted after two weeks of the start of the semester will not be evaluated (weekends are not included; they should be considered as working days). If Res. Asst. Ardan Hüseyin EŞLİK is not present during the internship notebook submission, there is no harm in slipping internship notebooks under the door. The necessary information can be provided to the delivery personnel/a note can be made in the system.

12- I don’t have classes for the next semester or I don’t want to wait until the start of the semester. I urgently need a graduation certificate/diploma, I need to take a single-course exam, and I would like my internship notebook to be evaluated as soon as possible. Is it possible?

Yes, it is possible to have your internship notebook evaluated sooner. However, because the process of reading and evaluating internship notebooks, preparing official documents for signature, and submitting them to the Dean’s Office is a lengthy process, we cannot perform this process individually for each student. Therefore, for students who request early evaluation of their internship notebooks for various reasons, specific early internship notebook evaluation dates will be determined and announced. Internship notebooks received by these dates will be collected and evaluated collectively upon the deadline and forwarded to the Dean’s Office for processing. Notebooks received after these deadlines will not be evaluated until the next evaluation period. Therefore, it is the student’s responsibility to ensure timely receipt of the notebook.

The deadline for early internship notebook evaluations for the 2024-2025 summer semester is September 12, 2025 (by the end of business hours). Notebooks submitted to the internship committee after this date will not be considered for early evaluation. They will be evaluated alongside other notebooks on the final internship notebook submission date after the semester opens. Details regarding the delivery of the internship notebook are explained in the questions and answers in articles 11 and 13.

13- I’m out of town. Can I have the internship notebook shipped to you?

Yes, you can. However, in this case, it is the student’s responsibility to ensure that the notebook arrives before the specified deadline. If the notebook is delivered late for any reason (e.g., the shipping company’s error), the notebook will not be evaluated until the next evaluation stage. If Res. Asst. Ardan Hüseyin EŞLİK is not present in the room during the internship notebook delivery, there is no harm in slipping the notebook under the door.

14- I’m going to do my military service and start working, and I need to graduate as soon as possible. How many days will it take for my notebook to be evaluated, and when will I receive my diploma? When can I receive my diploma?

To answer this question, it’s first important to understand the process that follows the delivery of your internship notebook. It takes a certain amount of time for your internship records to be read and evaluated by our internship committee, and for the official documents to be prepared. This is followed by the signatures on the official documents and their submission to the Student Affairs Office. Due to the high volume of work at the Student Affairs Office, entering your internships into the system takes a certain amount of time. Once all these processes are complete, a final check is made to ensure that you have completed all courses and completed your internship, and your graduation confirmation is issued. As can be seen, due to the various processes involved, it is not possible to give an exact timeframe. However, if an estimated timeframe is needed, it can be expected that these processes will be completed within approximately one month, and you will be eligible for graduation status through e-government.
